Start with the purchase file

  • Supplier name and contact information.
  • Exact equipment model, configuration and condition.
  • Itemized price, taxes, delivery and any separate setup costs.
  • Deposit already paid, remaining balance and expected delivery date.
  • Warranty and education details confirmed by the supplier.

Prepare a short business summary

Write a plain-language paragraph explaining whether the device replaces an existing unit, adds capacity or supports a new service. Include the clinic's legal name, operating location, time in business and the amount requested. Be clear about what is already operating and what is still planned.

For example: “Our clinic is replacing an existing device. We have a current supplier quote and would like to review payments over several terms.” That is more useful than a long pitch promising that the new device will immediately pay for itself.

Keep supporting records ready

The team may request recent business bank statements, financial information, ownership details or identification. Ask for the exact list and the approved secure delivery method. A newer clinic may need to explain its available cash, opening timeline and assumptions in more detail.

Do not send patient records, patient names or appointment histories. A business financing review should not need identifiable treatment information. If revenue support is requested, ask which business-level records are appropriate.

Check consistency before sending

Use the same legal business name across your quote and application. Make sure the requested amount reflects any deposit or excluded costs. If a document is unavailable, explain why instead of substituting an estimate without labelling it.

A simple folder can contain a quote, a business summary and the specific records requested. Date each file so an updated quote is not confused with the version it replaced.
