A WooCommerce store can provide useful evidence of trading, but its sales dashboard is not a funding offer. A finance provider needs to understand which business owns the store, how customers pay and how those payments become cash in the bank.

For UK merchants, it is also important to distinguish WooCommerce software from WooPayments and from any separately connected payment gateway. Their funding access and records are not interchangeable.

Is WooPayments Capital available to UK stores?

WooCommerce’s current payments page describes financing through WooPayments and Stripe Capital as US-only and invitation-only. Its Capital documentation refers to eligible US businesses and loans issued through Celtic Bank. UK merchants should not treat that programme as an available UK product simply because their store uses WooCommerce. Sources: WooPayments product page and WooPayments Capital overview.

A UK business may investigate finance from a separate provider based on its trading records. The provider must confirm eligibility and compatibility with the actual payment arrangement. This article does not describe a guaranteed WooCommerce-branded UK funding route.

Map the store, gateways and bank accounts

List every payment method used by the store and the account receiving its settlements. Include separate card gateways, PayPal, bank transfers and any other material channel.

A simple map should answer four questions: who owns the store, who processes the payment, where it settles and which records explain the transaction. This is especially useful when a developer configured the store and the owner is unsure which account handles each method.

Do not assume a WooCommerce order total and a processor settlement are separate revenue. They can represent the same sale at different stages. The funding summary should count the sale once and then reconcile its cash movement.

If several stores belong to the same company, label each one. If they belong to different companies, keep them separate unless the provider specifically requests a group assessment.

Use the correct sales measure

WooCommerce’s Analytics documentation defines net sales as gross sales less returns and coupons. Its Revenue report is available under Analytics and separates figures such as taxes and shipping. These definitions should be understood before presenting a total as available cash. Sources: WooCommerce Analytics definitions and Revenue report.

Net sales in a store report are not necessarily the net payout from the processor. Processing fees, disputes, reserves, settlement timing and existing funding collections can create further differences.

For a simplified example, a store reports £50,000 gross sales, £3,000 returns and £2,000 coupons. Its net sales under that calculation would be £45,000. The business still needs to account for other costs and payment adjustments before deciding how much cash supports finance.

Do not replace an unexplained mismatch with an optimistic estimate. Reconcile the reports and ask the relevant provider or accountant about unclear items.

Prepare evidence an outside provider can verify

Start with original store reports, payment-processor statements and bank statements for matching periods. Add a concise schedule showing each channel’s receipts, refunds, charges and settlements.

Explain unusual activity: a launch, a seasonal promotion, a large wholesale order, a temporary outage or a change of payment gateway. A provider needs to distinguish repeatable trading from an exceptional period.

Keep the legal entity, currency and dates visible. Where a business has recently incorporated or acquired the store, explain which history belongs to the current applicant.

Ask the provider how it wants to receive information. Some may request statements, account connections or further business records. Do not assume that a store export alone is sufficient or that a particular connection guarantees approval.

Match the funding to the stock cycle

For an ecommerce store, calculate when the supplier needs payment, when goods arrive, when they sell and when the proceeds become available. Include freight, import-related costs where applicable, packaging, storage and fulfilment.

A stock order can appear profitable while tying up cash for too long. Model a slower sell-through case and a discounting case. If the goods are seasonal, include the risk that unsold inventory remains after the main buying period.

For example, an invented stock purchase of £12,000 might be expected to generate £20,000 of sales. That £8,000 difference is not automatically available for funding cost: advertising, fulfilment, returns, overheads and tax can reduce it materially.

Use the business’s actual margin and timing assumptions. A funding proposal should support a viable purchase rather than make an uncertain sales forecast look more certain.

Assess advertising-funded growth carefully

If the money will be spent on advertising, separate revenue from contribution. A campaign producing £10,000 of sales does not justify £10,000 of marketing spend if the products and delivery already consume much of that revenue.

Set a test budget, measurement period and stopping point. Include the delay between advertising payment and customer settlement. Avoid assuming that the strongest recent campaign result can be repeated indefinitely at a larger budget.

Where the store depends on one advertising channel, model a weaker period. A finance obligation can continue even if acquisition costs rise or campaign performance drops.

The spending plan should show how the business will preserve essential operating cash if the campaign underperforms.

Compare collection structures

An outside provider might offer scheduled loan payments or sales-based collections. Read the actual product terms rather than assuming every ecommerce finance proposal works like an MCA.

Compare the repayment structures in our guide, Short-Term Business Loans UK: Compare 3–18 Month Options.

For an illustrative sales-based offer, assume £15,000 received, a £2,250 fee and a 10% collection on a defined sales base. Total payable would be £17,250. On £30,000 of eligible monthly sales, the assumed collection is £3,000.

Those are hypothetical figures, not a quote or a standard market rate. Check any minimum obligation, final deadline, guarantee or security requirement. The percentage of sales alone does not describe the entire agreement.

Review the guarantee questions in our guide, Fast Business Loans Without a Personal Guarantee UK.

Compare the proposal with alternatives using the same net cash requirement. Include total cost, timing, early-settlement treatment and any changes to payment processing.

Build a weaker-sales forecast

Start with opening cash and expected settlements, then subtract suppliers, wages, hosting and software, fulfilment, advertising, tax, existing finance and the proposed payments.

Reduce sales and increase returns to a plausible level based on the store’s history. Allow stock to sell more slowly. Identify the lowest weekly balance and the payment dates that create pressure.

Where customers use different gateways, check whether a change in payment mix affects collections. Discuss genuine operational changes with the provider rather than assuming that moving sales between gateways has no contractual effect.

Keep the forecast updated after funding. It is useful for managing the business, not only for completing an application.

Frequently asked questions

Does using WooCommerce qualify a UK business for WooPayments Capital?

No. The current WooPayments financing page specifies a US-only programme. UK businesses need to verify any separate funding route available to them.

Are WooCommerce net sales the same as bank receipts?

No. Net sales use the store’s reporting definition. Processor deductions and settlement timing can make bank receipts different.

Can a provider consider several gateways?

It may be able to, but must confirm compatibility and the evidence required. Prepare a reconciled channel breakdown rather than assuming automatic aggregation.

What is the most important preparation step?

Connect the store’s orders to processor activity and bank settlements, then build a cash forecast for the proposed spending and payments.
